How do I know if a client paid an invoice that had an unpaid spend money item, so that I can pay the expense now that the funds have been received?
Within the spend money window there is a class filter titled Unpaid + In Paid that will give you this information.
Many firms invoice clients for their fees plus any disbursements associated with those fees. These can include things like Title Searches, Court Fees, Barrister Fees etc.
If your firm takes that approach that the Disbursements will be paid after the client has paid, then you will need to know which paid invoices have unpaid disbursements on them.
Firstly, to ensure the information is presented correctly, you will need to ensure when you enter the disbursement e.g. Barrister Fees into the Spend Money window, you are entering it as an unpaid matter expense.
Once that has been done, you would then include this matter expense onto the invoice.
When the client pays the invoice, SILQ will recognise that the invoice has been paid but the disbursement remains unpaid to the provider, e.g. the Barrister.
In order to know which unpaid disbursements fall into this category, you can use the Unpaid + Inv Paid class filter in the spend money window.
When this filter is applied, it will only show you invoices that have been paid by the client but there are one or more disbursements that still show as unpaid.
You will need to remember to change the status of the disbursement to paid, once you have actually paid it.
