OneDrive & Outlook

Can a firm with multiple users use a single OneDrive login and still use the SILQ Outlook Add-In?

The short answer is no. Your OneDrive and Outlook Add-In need to be able to connect to the same account.

We understand why some firms with multiple users prefer to just use one email address as the login for the OneDrive, however in the context of working quickly and efficiently within legal practice management software, this is not an ideal setup for two reasons:

1. In our experience, OneDrive isn't the ideal solution for a firm with multiple users, SharePoint (which is normally included as part of your Microsoft subscription) is a much better solution.
In OneDrive, a folder needs to be shared with different users each time it is created. This doesn't always happen and so can create frustration and duplication if one person thinks a folder doesn't exist, even though it does exist, it just wasn't shared with them. Firms have come across this scenario and have opted for a single login as the solution (e.g. a shared email address like info or something similar).

SharePoint on the other hand works more seamlessly in that all users get access to folders based on their permissions which means you set it up once and don't have to worry moving forward.

For the above reason, we do not recommend using OneDrive if you have multiple users. SharePoint is more effective for Law Firms.

2. If you are using a single login for OneDrive, however still want your staff to use the productivity tool - SILQ Outlook Add-In the two will 'clash'. This is because in order to access OneDrive you will have to login into a different email address than your own (e.g. info@example.com). However to use SILQ for Outlook, you will need to connect to your specific work email address (e.g. joebloggs@example.com). You can only connect to one email address at a time, hence why this scenario does not work.

Based on the above, you have 2 options:

a. If you genuinely prefer to use OneDrive (which we do not recommend in this scenario) then you will need to ensure the documents folder is shared to all users work email addresses e.g. joebloggs@example.com and each user is logging into that account, not the shared email e.g. info@example.com.

b. Setup SharePoint instead of OneDrive and you will be able to access both documents and emails without having to share any folders.
